Running a creator chat team or agency: tools, roles and rules
By the Avatique team · Updated
A chat team needs four things: a seat per person (never a shared password), one owner per conversation so two people never answer the same fan, reply targets so fans don't wait, and numbers per person so you know who sells. Avatique's inbox does all four, plus CRM sync to HubSpot, Attio and Airtable and an API for agency tools.
Roles and permissions
| Role | Can | Can't |
|---|---|---|
| Creator | Everything | — |
| Manager | Chat, assign, see analytics, post if allowed | Payouts, tax, verification |
| Chatter | Reply to the fans assigned to them | Payouts, settings, other pages |
| Editor | Prepare posts and the vault | Chat |
Every seat signs in with two-factor authentication and can be limited to specific pages.
Routing and reply targets
- Each conversation has one owner. New chats go to online teammates with room in their queue.
- Set reply targets by priority: VIP fans first, and every reply's wait is recorded.
- Rules act on incoming messages: tag big spenders, raise priority, assign to a specialist.
- Snooze a conversation until a date; it comes back on its own.
- A send guard stops two people answering the same fan at the same time.
Notes, handovers and AI assistance
Internal notes with @mentions keep context between shifts. The assistant suggests replies and writes handover summaries; messages it sends automatically are marked as AI to the fan, as the law requires in the EU and California.
What's never allowed
- Sharing a creator's password: use seats.
- Moving payments or meetups off the platform.
- Claiming a bot is human when a fan asks.
- Pretending to be someone in content you don't have the rights to.
Connect your tools
Sync fans to HubSpot, Attio or Airtable, or send signed webhooks to Zapier, Make and n8n. Fans appear under a private ID per creator, never with email, real name, location or payment details, and can opt out.
Questions
Can several chatters work on one creator's messages?
Yes. Each has their own seat; one owns each conversation, and a send guard prevents double replies.
Can I see sales per chatter?
Yes. Team analytics show replies, wait times, late replies, paid messages, sales and assisted sales per person, and earnings per hour online.
Does Avatique have an API?
Yes. A scoped REST API (/api/v1) for fans, conversations, messages, notes and webhooks, with keys that carry only the scopes you choose.
